Why the deposit never matches the invoice

A client pays a biweekly invoice plus a tip. Another pays by ACH, which settles days later. A third gets a partial refund because the oven wasn't done. Stripe takes its fees and sends you one lump sum. Your bank shows a number that matches nothing on your invoice list.

Most owners either trust it and move on, or spend an evening every month with two browser tabs and a calculator. Neither catches the refund that went out twice or the payment that never settled.

The problem grows with you. A solo cleaner can eyeball a week of deposits. A company with a few hundred recurring clients on autopay, plus commercial accounts paying by ACH, cannot. That is when small errors start hiding inside big numbers.

What Pey does with each payout

Pey reads each Stripe payout, lists every charge, refund, tip and fee inside it, and links each charge back to the invoice it paid. It then finds the matching deposit in your bank feed and marks the payout reconciled in erp.io Accounting.

When something doesn't line up, it stays on a short exceptions list with the reason: a deposit with no matching payout, an ACH payment that failed after it was marked paid, a refund issued outside the system.

Cleaning supply distributors sometimes offer a discount for paying a bill early. It's easy to miss when bills arrive by email and sit in someone's inbox. Pey watches your payables for early-payment terms and flags the ones due soon, alongside your current cash position.

The missing ninety dollars

Here's an example. An office manager notices the Thursday deposit is short compared to what Stripe reported that morning. In the old routine, finding out why meant downloading a CSV and scrolling.

In Pey, the payout is already broken down. One line is highlighted: an ACH payment from a biweekly client on Oak Hill that was marked paid on Monday bounced on Wednesday. The invoice has been reopened and the client's balance updated. The office manager sends a payment link from the same screen, and the client pays by card that afternoon.

Questions, answered

Which payment processors does Pey work with?

Pey is built around Stripe, which powers card and ACH payments in erp.io, including card on file, autopay, tips and payment links in the field. Payouts are matched against the deposits in your connected bank feed. If you take cash or checks, those are recorded on the invoice and matched to your bank deposits too.

Is this different from erp.io Accounting?

Accounting is the ledger itself. Pey is the reconciliation layer that makes sure the money the ledger says you received actually arrived in the bank, broken down to each invoice. They share the same data, so a reconciled payout is marked in the ledger and on each invoice without extra steps.

Does Pey move money or pay bills for me?

No. Pey reads payouts and bank activity, matches them, and flags things for you to act on. It doesn't transfer funds, offer instant payouts or pay suppliers automatically. When a supplier discount is worth taking, you pay the bill the way you normally do and record it.

How are tips tracked through reconciliation?

Each tip is identified inside the payout and tied to the visit and cleaner it belongs to. That gives you a clean total of tips received per period, which flows into payroll prep so cleaners are paid what clients actually gave them. Tips stay out of your cleaning revenue.

What happens with disputes and chargebacks?

A dispute shows up against the original invoice and the payout it affects, so you can see which client and which clean it relates to. Your checklist PDF, before and after photos and the client's signature are attached to that visit, which gives you the evidence you need to respond.
