Vacation rental cleaning

Turnover software for the gap between checkout and check-in

Guests leave at 11, the next ones arrive at 3. In between, your team has to clean, restock, swap linens and prove it to a host who is three states away. maid.co is built for that window, and for the hosts who send you more properties once you get it right.

Photo proof for remote hosts

Required room photos and a restock checklist, sent as a PDF when the turn closes.

3

Linens and supplies tracked

Stock in each car and at the office, used per visit, with reorder points.

Same-day turnovers that fit on the calendar

A turnover is a fixed window, not a flexible appointment. Set a 4-hour arrival window from 11 to 3, add a buffer after each turn, and let route optimization order the day using real drive times between properties. The dispatch board shows every turn in real time, so you know at 1:30 which one is running behind.

When a host adds a last-minute booking, 'find a time' shows who can take it. Drag it onto a cleaner, and the visit lands in their field app with the door code and the host's notes.

  • Arrival windows, buffers and drive time planned separately
  • Route optimization across a day of turnovers
  • Real-time dispatch board for same-day changes
  • Calendar sync to Google, Apple and Outlook

Photo proof the host actually looks at

Hosts can't walk the property after you leave, so photos are the product. Build a turnover checklist with required photos for each bedroom, the bathrooms, the kitchen and the welcome setup. Add a number field for towel counts and a checkbox for 'damage found'. The visit can't close until the required items are done.

The host gets a PDF with photos when the turn is complete. If something is broken, the cleaner marks up the photo in the field app so the host has what they need for a damage claim with the platform.

  • Room-by-room required photos with markup
  • Damage and missing-item fields on the checklist
  • PDF with photos emailed to the host automatically

Linens, consumables and what they cost you

Every turn uses toilet paper, coffee pods, trash bags and a set of sheets. Supplies inventory tracks stock at your office and in each cleaner's car, records usage on each visit and flags items that hit their reorder point. Create purchase orders, receive deliveries and run counts when you need them.

Job costing then shows the real margin on each property: labor from time tracking plus the supplies used. Add a restock fee as a line item for hosts who want you to supply consumables, and you'll see exactly whether it covers the cost.

Hosts as accounts, and more hosts on the way

Set each host up as a client with every property under them, each with its own access notes, lockbox codes and parking. Bill per turnover or roll all of a month's turns into one periodic invoice with service dates on the lines. Hosts pay with a card on file and autopay.

To grow, Phony's AI sales developer can prospect hosts and property managers in your area and book intro calls. The client portal lets existing hosts request extra turns, see upcoming cleans and pay invoices without an email thread.

  • Many properties per host, one billing record
  • Per-turn or monthly periodic invoicing
  • Client portal for requests and payments
  • Outbound prospecting to hosts and managers

A day with maid.co

Three turns and a broken lamp

Say you handle six cabins for one host. On Saturday, three check out at 10 and check in at 4. Route optimization orders them by drive time, and your two-person crew starts at the farthest one. At the second cabin the cleaner finds a broken lamp, photographs it, marks it up and ticks 'damage found' on the checklist.

By 3:15 all three turns are closed. The host gets three PDFs, one with the lamp photo she needs for her damage claim. The supplies used come off the van's stock, and the coffee pods hit their reorder point. At month end, one periodic invoice covers all of her turns and autopay charges the card.

FAQ

Questions, answered

Does maid.co connect to Airbnb or VRBO calendars?

maid.co isn't a channel manager, so turnovers are scheduled here rather than pulled from listing calendars automatically. Calendar sync pushes your schedule to Google, Apple or Outlook. Hosts can request turns through the client portal or a request form, and the public API and webhooks are available if you want to connect a channel manager.

Can I bill a host once a month for all their turnovers?

Yes. Jobs can bill per visit or periodically. With periodic billing, one invoice covers every completed turn in the period and lists each service date on its own line. Hosts can keep a card on file with autopay, and invoice reminders go out automatically if something isn't paid.

How do I track linens and supplies across vans?

Supplies inventory holds stock at your office and in each car or van. Cleaners record usage on the visit, and items that fall below their reorder point are flagged. You can create purchase orders, receive them into stock and run counts. Usage feeds job costing, so you see supply cost per property.

Can hosts see photos after every turn?

Yes. Turnover checklists can require photos per room. When the cleaner closes the visit, a PDF with the checklist answers and photos is emailed to the host automatically. Photos can be marked up in the field app to highlight damage or missing items.

What happens when a same-day booking comes in?

Use 'find a time' to see which cleaner or crew can fit it, or drag it onto someone on the dispatch board. The visit appears in their field app with a push notification, including access notes and the checklist. If other visits move, clients can be notified automatically.
