Phony · AI Receptionist

Every call answered. Every clean booked into a real opening.

Phony picks up when you're elbow-deep in a move-out, on the road between homes, or asleep. It quotes from your price list, books into your actual schedule, and puts the transcript on the client record your office already uses.

Hi, how much for a deep clean? Three bedrooms, two baths, and we have a cat.

A deep clean for a 3 bed, 2 bath home starts at $290. I have Thursday at 10:30 or Friday at 1:00. Which works better?

Thursday, please.

1

Books into real availability

Phony reads the same schedule your dispatcher drags visits around on, so it never offers a Tuesday slot that's already full.

2

Handles existing clients too

Reschedules, cancellations, gate code changes and "are you still coming today?" calls, all matched to the right client.

3

Knows when to hand off

Upset caller or a big commercial lead? Phony warm-transfers to a person with a summary so nobody repeats themselves.

A receptionist that works from your schedule, not a script

Most answering services take a message. That message sits in someone's inbox until the caller has already booked with the company that picked up. Phony answers, asks the questions you would ask, and books the clean while the caller is still on the line.

It works because it isn't bolted on. Phony reads the same services, prices, durations, service area and team availability that power your online booking. If a standard clean on a three-bedroom takes two cleaners three hours, Phony looks for a window that fits, respects your buffers and drive time, and offers the caller real options.

When a caller asks something outside the rules you've set, like a post-construction clean or a 12,000 sq ft office, Phony books a walkthrough instead of guessing at a price.

  • Answers calls and texts 24/7, including nights and weekends
  • Quotes from your price list by bedrooms, bathrooms, square feet and add-ons
  • Checks your service area and max drive time before offering a slot
  • Books a clean, or an in-home walkthrough when the job needs eyes on it
  • Captures name, address, pets, parking and access notes on the new client record

Existing clients get handled, not just new leads

A big share of your phone traffic is people you already clean for. The biweekly client who needs to push Thursday to Friday. The Airbnb host whose checkout time moved. The client who changed their alarm code and wants to make sure the cleaner knows.

Phony recognizes the caller from the CRM, finds their upcoming visits and makes the change, following the reschedule and cancellation rules you set. Updated access notes land on the property, where your cleaner sees them in the field app before the next visit.

  • Reschedules or cancels a single visit without touching the rest of the recurring series
  • Updates access notes, gate codes and pet info on the right property
  • Answers "what time is my cleaner coming?" from the live schedule
  • Follows your cancellation-window policy and flags late cancels for the office

Missed calls get a text back, not silence

If someone hangs up before Phony finishes, or calls during a moment you've routed to voicemail, Phony texts them back within moments to pick up where they left off. Plenty of callers would rather text anyway.

Every conversation, voice or text, lands on the contact in the CRM with a recording, a transcript and a short summary. Your office manager opens the client and sees exactly what was said, what was booked and what still needs a human.

All done. How did we do? ★★★★★

You stay in control of what it says and does

You decide what Phony can book on its own, which services need a walkthrough first, when to transfer, and who it transfers to. Set business hours for live transfers and after-hours rules for everything else.

Phony is metered per minute, so a slow week costs less than a busy one. There's no second system to log into and no separate client list to keep in sync. It's the same login and the same client record as the rest of maid.co.

A day with maid.co

Saturday, 7:40 p.m.

Say a caller named Dana finds you on Google on a Saturday evening. She's moving out of a two-bedroom apartment next Friday and needs it cleaned before the walkthrough with her landlord. Your office closed at five.

Phony picks up, asks about bedrooms, bathrooms and whether the fridge and oven need doing, and quotes a move-out clean with both add-ons from your price list. It sees that Thursday afternoon is open for a two-person crew near her zip code, books it, and texts Dana a confirmation with a link to save a card.

Monday morning, your office manager opens the dashboard. Dana is a new client with a property, a booked visit, the add-ons on the job and a transcript of the call. Nobody had to call her back.

FAQ

Questions, answered

Will Phony book cleans I cannot actually staff?

No. Phony books against the same availability, durations, buffers and service area rules as your online booking. If no cleaner or crew can take the job in the requested window, it offers the next real openings or books a walkthrough. You can also require that certain services, like deep cleans or commercial jobs, always go to a walkthrough or a person first.

Can callers tell it is an AI?

Phony speaks naturally, but it does not pretend to be a person. You choose how it introduces itself. Most cleaning companies find callers care far more about getting a real answer and a booked time than about who picked up. Anyone who asks for a person can be transferred during the hours you set.

What happens with calls it should not handle?

You set the transfer rules. Common ones are: an unhappy client, a damage complaint, a commercial lead above a certain size, or anyone who asks for the owner. Phony warm-transfers to the person or number you choose and passes along a summary. After hours, it takes the details and creates a follow-up task instead.

Where do recordings and transcripts go?

Onto the contact in the erp.io CRM, next to their quotes, visits, invoices and texts. There is no separate call log to check. If the caller was new, Phony creates the contact and property first. Your team can search transcripts, and managers can review calls to tighten up the answers Phony gives.

How is Phony priced?

Phony is metered by the minute of phone time, so you pay for what gets used rather than a flat receptionist salary. It runs on the same account as the rest of maid.co, and you can try it during the free trial. Your plan page shows current per-minute rates and usage as the month goes.
