Supplies & inventory
Stop running out of microfiber on a Tuesday
Know what's on the office shelf and in every cleaner's car. Log supplies used on each visit, reorder before you run out, and see where your supply money actually goes.
Office and every car
Track stock in the supply room and in each car or van, so you know who needs a restock.
Usage per visit
Crews log what they used on the job, and it flows into job costing automatically.
Reorder on time
Reorder points, purchase orders and receiving, so you never borrow from a client's cabinet.
Stock where it actually lives
Cleaning supplies don't sit in one warehouse. They're on the shelf at the office, in the trunk of every cleaner's car and in the back of each van. maid.co tracks each location separately, so you can see that the office has plenty of glass cleaner but Team 3's van is down to its last bottle.
Transfers from the office to a car are quick to log when a crew restocks in the morning. Counts keep everyone honest.
If you run carpet or upholstery cleaning alongside maid service, the same tools cover chemicals, filters and machine parts. Each item has a unit, a cost and a preferred supplier, so nobody has to guess what to order.
- Locations for the office, cars and vans
- Transfers when crews restock
- Cycle counts with variance
- Item costs for accurate job costing
Usage logged on the visit
When a crew finishes a clean, they can log the supplies they used right on the visit in the field app. A deep clean might use a full bottle of degreaser and a box of magic erasers. A standard clean might use far less.
That usage comes out of the right location's stock and adds its cost to the job. Over time you learn what each service really consumes, which makes your quotes sharper.

Reorder before the shelf is empty
Set a reorder point for each item. When stock drops below it, the item shows up on your reorder list. Create a purchase order to your supplier, then receive it when it arrives and stock goes up automatically.
Purchases post to the erp.io ledger, and Pey can flag supplier early-payment discounts worth taking. It's a small business line that adds up across a year.
- Reorder points by item and location
- Purchase orders to suppliers
- Receiving that updates stock
- Supply purchases posted to accounting
Why this matters for a maid business
Many popular field service tools don't track inventory at all; Jobber, for example, has no inventory feature. For cleaning companies, supplies are one of the few costs you directly control, and one of the easiest to lose track of.
When you know supply cost per visit, you can price deep cleans properly, spot waste, and give crews exactly what they need without over-buying.

The van that was always out of vacuum bags
Say one of your teams keeps texting the office mid-route for vacuum bags. You open inventory and look at their van. Usage per visit shows they burn through bags much faster than the other vans. Their schedule is heavy on pet homes, which explains it.
You raise the reorder point for that van, set a standing morning transfer from the office shelf, and add a line to the pet-home service so supply cost is covered in the price. The mid-route texts stop, and the crew never has to borrow a client's vacuum again.
FAQ
Questions, answered
Can I track supplies in each cleaner's car?
Yes. Every car or van can be its own inventory location, alongside the office supply room. Log transfers when crews restock and see stock levels per location. That shows which teams need a refill and helps you catch supplies that seem to disappear.
Do cleaners have to log every item they use?
You decide how detailed to be. Some companies log every bottle and pad; others log only higher-cost items like specialty floor cleaner or carpet solution. Even partial logging gives you a much better picture of supply cost per service than one lump monthly bill.
Does inventory connect to job costing?
Yes. When supplies are logged on a visit, their cost from inventory is added to the job. That shows up on the job's profit bar and in the job profitability report, so you can see which services and clients use the most product relative to what they pay.
Can I create purchase orders to my supplier?
Yes. When items fall below their reorder points, they appear on a reorder list. Create a purchase order, send it to your supplier, and receive it when the delivery arrives. Receiving updates your stock and the purchase posts to accounting.
Is inventory useful for a small team?
Even a solo cleaner or a two-person team benefits from knowing what's running low and what each clean costs in product. You can keep it very light: a handful of key items, one location and reorder points. Add more detail as you grow into multiple cars and a supply room.
