Move-out and move-in cleaning

Move-out cleans quoted fast, done on deadline, proven with photos

Move-out work is quote-heavy and deadline-bound. A tenant wants their deposit back, a realtor has a listing going live Friday, a property manager needs the unit turned before new keys change hands. maid.co gets you from request to paid, with the photos to back it up.

Quotes from photos

Request forms take up to four photos and AI drafts a quote from the details.

2

Deposits before you commit

Collect a deposit on quote approval and apply it to the final invoice.

Proof for the walkthrough

Before and after photos in a checklist PDF the landlord or realtor can keep.

From request to approved quote the same day

Move-out clients shop fast. The request form on your website captures the address with autocomplete, bedrooms and bathrooms, the move-out date and up to four photos of the worst rooms. Duplicate detection catches the tenant who submits twice, and UTM capture tells you which ad brought them in.

AI can draft the quote from the request so you're only reviewing, not typing. Add optional line items the client picks themselves, like inside the oven, inside the fridge, cabinets, interior windows or wall spot-cleaning. The client approves with an e-signature and pays the deposit in one step.

  • Request forms with photos, address autocomplete and UTM capture
  • AI-drafted quotes from requests
  • Optional add-ons chosen by the client
  • Deposits collected on approval and applied to the invoice

Deadlines you can see coming

A move-out clean has a hard stop: the key handoff, the final walkthrough, the listing photos. Put the deadline in the job instructions, use the unscheduled panel to see approved work that still needs a slot, and use 'find a time' to fit a three-hour deep clean around your recurring clients.

If a closing moves, bulk reschedule notifies the client automatically. For empty units, lockbox codes and access notes go on the property, so your team isn't waiting in the parking lot for an agent.

Realtors and property managers as repeat accounts

One tenant is a single job. A property manager with 200 doors is a pipeline. In the CRM, set up the management company with its contacts and every unit as a property, each with a billing address that goes to the office, not the tenant. Invoices can run on terms and roll up in a monthly statement.

Phony's AI sales developer can prospect realtors and property managers in your service area, follow up and book an intro call. Lead source revenue reports show whether realtor referrals are worth more than your ads.

  • Companies with many properties and one billing address
  • Statements and net terms for management firms
  • Outbound prospecting to realtors and property managers
  • Lead source revenue reporting

Photo proof that protects the deposit

The dispute always comes after you leave. Attach a move-out checklist to the service type with required photos for each room, the oven interior and the inside of the fridge. Cleaners capture and mark up photos in the field app, even offline in an empty unit with no Wi-Fi.

When the visit closes, the client gets a PDF with every photo. Tenants forward it to their landlord. Realtors keep it for the file. You keep it for the day someone says the bathroom wasn't touched.

A Friday key handoff

Say a tenant submits a request Monday night with four photos and a Friday noon key-handoff. Tuesday morning the AI-drafted quote is waiting for you: two bedrooms, one bath, deep clean. You add inside-oven and inside-fridge as optional add-ons and send it. By lunch she's approved with both add-ons and paid the deposit.

You slot the clean for Thursday afternoon using 'find a time'. Thursday at 5 pm the cleaner closes the visit, the remaining balance is charged, and the tenant gets a PDF with 30 photos. She forwards it to her landlord, and adds your company to her list for her next place.

FAQ

Questions, answered

Can clients upload photos when they request a move-out quote?

Yes. Request forms accept up to four photos from the client, along with address autocomplete, custom questions like bedroom and bathroom counts, and the move-out date. You can run multiple forms, for example one for tenants and one for property managers, and embed them on your website.

How do deposits work?

You can require a deposit on a quote. The client pays it when they approve the quote, by card or ACH through Stripe. When you invoice the completed job, the deposit is applied automatically, so the client only pays the balance. Deposits and refunds post to accounting without manual entry.

Can I bill a property manager instead of the tenant?

Yes. A client can have a billing address that differs from the service address, and a management company can hold many properties. Invoices go to the billing contact, can use commercial payment terms, and can be summarized on statements, so the manager isn't chasing a dozen separate emails.

What if the move-out date changes?

Reschedule the visit and the client is notified automatically. If several jobs shift, for example a building-wide move date, bulk reschedule moves them together and sends notifications. The change history on the job shows who moved it and when, so your office can answer the realtor who asks why the time changed.

Do cleaners need signal to take photos in an empty unit?

No. The field app works offline. Cleaners can view the job, fill the checklist, take and mark up photos and run timers without a connection. Everything syncs once they're back in range, and the PDF with photos goes to the client when the visit is closed.
