A quote in a PDF attachment is easy to ignore. A quote in the portal is easy to approve. Clients open it from a text or email, see the line items and photos, tick the add-ons they want, like inside the fridge, inside the oven or interior windows, and sign to approve.

If you require a deposit, they pay it right there. The approved quote turns into a job in your schedule, with the chosen add-ons already on it, so your cleaner knows exactly what was sold.

Paying, tipping and autopay without the back-and-forth

Chasing payment is one of the least favorite parts of running a cleaning company. The portal makes paying the easiest thing to do. Clients see open invoices, pay by card or bank transfer, and add a tip for their cleaner at 10, 15 or 20 percent or a custom amount.

Recurring clients can save a card and turn on autopay, so every biweekly clean is charged when the visit is complete. You stop sending reminders for the same client every other week.

Clients can see what's scheduled: the date, the arrival window and which cleaner or crew is coming. That alone takes a surprising number of calls off your desk, especially the morning-of 'are you still coming?' kind.

They can request extra work, like a deep clean before the holidays or a move-out at their rental, using the same request form as your website, with photos. And their personal referral link is right there, so sharing you with a neighbor takes a few seconds.

Say your office sends a quote for a first-time deep clean to a new client, Priya, at 3 p.m. She is at work and doesn't look at it. At 5 p.m. on the second day, an automatic reminder text goes out with the portal link.

Priya opens it that night after her kids are in bed. She sees the base deep clean, adds inside the oven and interior windows, reads your cancellation policy, signs and pays the deposit. It takes her two minutes.

Questions, answered

Do clients need to create an account?

Clients reach the portal from secure links in your texts and emails, so they can approve a quote or pay an invoice without setting up a password first. Clients who want to come back on their own can sign in to see their full history, saved cards and upcoming cleans. Either way, it is the same client record your office uses.

How do tips get to my cleaners?

Tips are recorded against the visit and the cleaner or crew who did it. They show up in payroll prep so you can pass them through with the next pay run in your payroll provider. maid.co prepares the numbers. Your payroll provider actually pays them out.

Can clients reschedule from the portal?

You decide. Some companies let clients request a change and have the office confirm, which protects crew routes. Others allow direct rescheduling within set rules, like more than 48 hours ahead. Many route reschedules through Phony or two-way texting instead, where the change is checked against your real availability.

Does the portal carry my branding?

Yes. The portal uses your company name, logo and colors, and links come from your business. Clients see your cleaning company, not a software brand. Quote terms, cancellation policies and service agreements are the ones you wrote, attached where clients approve.

What payment methods can clients use?

Card and ACH bank transfer through Stripe. Clients can save a card on file, turn on autopay for recurring cleans, and make partial payments where you allow it. In the field, your cleaner can also share a payment link or QR code from the field app for clients who want to pay on the spot.
