All done. How did we do? ★★★★★
1

Confirmed before you drive

Reminders ask clients to confirm, so you find out about the lockout the day before, not at the front door.

2

On-my-way with ETA

One tap from the cleaner sends the client a text with a real arrival estimate.

3

Your own rules

Build trigger, condition, action automations for the workflows only your company has.

Visit reminders that prevent lockouts

The most expensive visit is the one where the crew drives 25 minutes and can't get in. Automatic reminders go out by email or text before each visit, with a link the client taps to confirm.

If a client doesn't confirm, the office sees it on the schedule and can call ahead. If they need to move the clean, they can reply and the conversation lands in your team inbox.

  • Email and SMS reminders on your timing
  • Confirm link with status on the schedule
  • Reminders about lockbox, pets or prep
  • Booking confirmations for new cleans

On-my-way texts from the field

When the crew leaves the last home, a cleaner taps 'On my way' and the client gets a text with an ETA based on real drive time. It's a small thing that makes clients feel looked after, and gives them time to put the dog out or leave the door unlocked.

Replies come back to the two-way team inbox, so whoever is working the office can answer without passing phones around.

Follow-ups that happen on schedule

Quotes that sit unanswered go cold. Automatic follow-ups nudge clients a few days after a quote is sent and again later if needed. Unpaid invoices get the same treatment with a payment link included.

After a clean, a short survey asks how it went. Happy clients can be routed to a Google review request through the Marketing module. Unhappy ones reach the office first, so you can fix it before it becomes a public review.

  • Quote follow-ups until approved or declined
  • Invoice reminders with a pay link
  • Post-clean surveys
  • Review requests for happy clients

Automations for how you run things

Every cleaning company has its own rules. Build automations with a trigger, optional conditions and actions. When a move-out visit completes, send the checklist PDF to the property manager. When a recurring client cancels twice in a month, notify the office manager. When a quote over a set amount is approved, create a walkthrough task.

Writing the message is often the slow part. AI rewrite can polish a reminder, soften a late-payment note or translate an update to Spanish before it goes out.

A day with maid.co

The lockout that got caught the night before

Say a biweekly client on Cedar Court gets her reminder text at 5pm the day before. She doesn't tap confirm. At 8am, the office manager sees her visit flagged as unconfirmed on the dispatch board and calls. Turns out the client changed her garage code and forgot to tell anyone.

The office updates the access note, and the crew sees the new code in the field app. At 10:40, the crew lead taps 'On my way'. The client gets an ETA and leaves the side gate open for the dog. After the clean, the survey comes back five stars and the review request goes out. Nobody drove across town for nothing.

FAQ

Questions, answered

Can clients confirm or reschedule from the reminder?

Clients can confirm with one tap from the reminder link, and their confirmation shows on the schedule. To reschedule, they can reply to the text or email, which lands in your two-way team inbox, or use the client portal if you've enabled it. You stay in control of what changes on the calendar.

How is the on-my-way ETA calculated?

When a cleaner taps 'On my way' in the field app, the ETA uses real drive time from their current location to the client's address. The client receives a text with the estimate. It's much more accurate than a fixed 'we'll be there in 30 minutes' message.

Can I customize the wording of every message?

Yes. Every reminder, confirmation, follow-up and survey uses a template you can edit, with fields like client name, visit date, arrival window and cleaner name. AI rewrite can suggest cleaner wording or a Spanish version. You can also set different templates for residential and commercial clients.

What kinds of custom automations can I build?

Automations use a trigger, conditions and actions. Triggers include things like a visit completing, a quote being approved, an invoice going overdue or a client being tagged. Actions include sending an email or text, creating a task, notifying a team member or updating a field. You can combine conditions to target specific services or client types.

Do texts come from a shared number?

Messages come from your business's texting number, and replies land in a two-way team inbox so anyone in the office with access can answer. Conversations are saved on the client's record, so the next person to talk to them has the full history.
