A day with maid.co

A two-location payroll on a Monday morning

Say you run crews in Sacramento and Reno. On Monday morning, both managers have already approved last week's timesheets. You open payroll prep for the period. Sacramento cleaners are calculated under California rules: one cleaner who worked a ten-hour move-out on Thursday gets daily overtime, and another who missed a meal break on a long commercial shift gets a premium. Reno cleaners are calculated under the rules you set for Nevada.

Tips from card payments are already assigned by visit. Two cleaners bought paper towels for a client and submitted receipts, so reimbursements are on their totals. You review, export, and upload to your payroll provider. It takes about as long as your coffee.

Does maid.co run payroll or pay my cleaners?

No. maid.co prepares payroll: approved hours, overtime, premiums, tips and reimbursements, calculated per cleaner. You then export or sync those totals to your payroll provider, which runs the pay, handles direct deposit and files payroll taxes. That keeps your existing provider relationship while removing the manual prep.

Which overtime rules are supported?

Weekly overtime is supported everywhere, and California rules are built in: daily overtime and double time, weekly overtime and 7th-consecutive-day rules, plus meal and rest break premiums. You set rules per location, so companies operating in more than one state can apply the right rules to each team.

How do tips get into payroll?

When a client adds a tip to a payment, it's recorded against the visit and split among the cleaners assigned to it. Payroll prep adds those tips to each cleaner's totals for the period, so they're paid through your normal payroll run instead of cash envelopes or separate transfers.

Is drive time included?

Drive time between client homes is tracked as its own category and included in payroll prep as working time. Keeping it separate helps you see how much of your payroll goes to travel, which is useful when you're deciding how to optimize routes or where to take on new clients.

Can I review before exporting?

Yes. Every pay period opens on a review screen showing each cleaner's hours by type, premiums, tips and reimbursements, with anything unusual flagged. Fix issues at the timesheet level with full edit history, re-run the calculation, and only then export or sync to your provider.
